Microsoft is modernizing print

At a high level, Microsoft is moving Windows printing toward a more secure, standardized, and modern model. Windows Protected Print, often shortened to WPP, is part of that broader direction.

WPP is designed to reduce reliance on traditional third-party print drivers and move Windows toward a more protected print experience.

That is an important shift because print environments have historically depended heavily on vendor-specific drivers, utilities, and custom software. Those components can provide rich functionality, but they also add complexity. They can increase support variables, create inconsistent user experiences, and introduce security concerns.

What is Windows Protected Print?

IPP stands for Internet Printing Protocol. In Microsoft’s modern print direction, IPP becomes a central method Windows uses to communicate with printers. It can support discovery, job submission, status information, and communication about device capabilities.

In practical terms, IPP helps Windows understand what a printer can do and provides a more standardized way for print communication to happen.

However, expectations need to be managed.

IPP does not automatically mean every advanced feature, finishing option, workflow, or device-specific function will behave exactly as it did with a traditional OEM driver. The available experience can depend on the printer, firmware, Windows version, IPP implementation, and maturity of the supporting app experience.

That does not make IPP a limitation. It simply means IPP should be understood as part of a broader modern print architecture, not as a magic switch that guarantees full feature parity in every environment.


What are Printer Support Apps?

Printer Support Apps, or PSAs, are another important piece of this story.

Historically, much of the printer-specific user experience lived inside the OEM print driver. That is where users often found advanced preferences, finishing options, device settings, and other printer-specific controls.

As Microsoft moves toward a more standardized print model, PSAs provide a modern way for printer manufacturers to enhance the Windows print experience.

In simple terms:

WPP helps protect the print environment.

IPP provides the communication framework.

The PSA helps deliver the printer-specific user experience.

That is the clearest way to explain the relationship.

However, PSAs should not be described as “new drivers.” They are not traditional drivers in a new package. They are app-based extensions that can improve and customize the print experience within Microsoft’s modern print direction.


Where Universal Print fits

Universal Print is often mentioned in the same conversation as WPP, and understandably so. It is part of Microsoft’s broader print modernization strategy.


But here is the important point: WPP and Universal Print are related, but they are not the same thing.

Universal Print is Microsoft’s cloud print platform. WPP is a Windows print security mode. IPP is the communication protocol. PSAs help provide an enhanced print experience.

They can align strategically, but they should not be treated as a single product or requirement.

A customer can have a WPP conversation without automatically needing a Universal Print conversation. Universal Print may be part of a customer’s long-term print strategy, especially when cloud print management is a priority. However, WPP should first be understood as part of Microsoft’s effort to secure and modernize printing on Windows.


Common misconceptions

As this conversation grows, dealers and customers are likely to hear a few recurring misconceptions.

One misconception is that WPP means Universal Print is required. That is not necessarily true. They are aligned with Microsoft’s broader direction, but they serve different purposes.

Another misconception is that IPP means every printer feature will automatically work. IPP provides the communication framework, but advanced features may still depend on the printer, firmware, PSA support, and the specific workflow being used.

A third misconception is that PSAs are simply replacement drivers. PSAs can enhance the print experience, but they are not legacy drivers with a new name. They are part of a more modern, app-based model.

It is not.

This is also a sales, service, and customer-expectation issue. Customers will want to know what changes, what still works, what may require testing, and what decisions they should be making now.


What partners should watch for

The print channel should avoid presenting WPP as a universal, immediate replacement for every existing print environment.

Some customers may rely on advanced finishing, specialty workflows, accounting integrations, embedded applications, or device-specific driver behavior. Those environments need careful validation before any broad change is recommended.

Partners should be asking practical questions:

- Are the customer’s devices compatible with the modern print path?

- Is the required PSA available and mature?

- Are finishing options and device-specific features supported?

- Does the customer need Universal Print, or are they simply trying to understand WPP?

- Are legacy drivers still required for certain workflows?

- What needs to be tested before making a recommendation?

- These questions help move the conversation from confusion to readiness.
